Backing Up

Well I am reinstalling Windows for a buisness because Quickbooks is having some issues with the current install. Aside from the financial information on the machine I also need to backup all the emails from Outlook. I need a way of backing up everything, the emails (in the format they are currently in with the attached photos) and the folders within the inbox, how might this be done?
The buisness also does not have the CD with Outlook on it, they have a product key that I should be able to find out with Belarc Advisor, so I am wondering is it legal to use my install CD of Outlook if I enter their product key with the installation. The computer was built by a local computer shop, and they didn't include any CDs with the computer.
